General Accountability

We are seeking an experienced and dedicated Senior Administration Specialist to join our team. As the right hand to our executive, you will play a crucial role in ensuring smooth operations and efficient communication within our organization, you will also play a crucial role in providing exceptional customer service and technical assistance to our clients. Your responsibilities will include:

Job Duties

  • Technical Expertise: Utilize your in-depth knowledge of our products and services to troubleshoot and resolve complex issues for customers and /or vendors.
  • Customer Support: Respond promptly to inquiries via phone, email, or chat, ensuring a positive customer experience.
  • Problem Solving: Analyze problems, identify root causes, and implement effective solutions.
  • Collaboration: Work closely with cross-functional teams, including energy and agriculture, to address management and customer needs.
  • Calendar Management: Coordinate and manage executive calendars, including scheduling meetings, Board of Directors meetings, appointments, and travel arrangements.
  • Communication: Handle phone calls, emails, and correspondence on behalf of executives, maintaining professionalism and confidentiality.
  • Document Preparation: Draft, edit, and proofread documents, presentations, and reports.
  • Meeting Support: Prepare meeting agendas, take minutes, and follow up on action items.
  • Office Coordination: Maintain office supplies, organize files, and handle administrative tasks.
  • Event Coordination: Assist in planning and organizing company events, conferences, and the Annual General Meeting.
  • Travel Arrangements: Arrange travel logistics, including flights, accommodations, and ground transportation.

Required Qualifications & Experience

  • Education: bachelor’s degree in a relevant field or equivalent work experience.
  • Experience: Previous experience as a Senior Administration Specialist or in a similar role is preferred.
  • Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Communication: Excellent verbal and written communication skills in both official languages (French and English)
  • Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Discretion: Maintain confidentiality and handle sensitive information with care.
  • Adaptability: Ability to thrive in a fast-paced environment and adapt to changing priorities.
